Job Description – Gift Shop Coordinator

Classification:  Regular Part-time: 25 hours per week

General Description of Position:
Under the general supervision of the Executive Director of Art Reach and the Board of Directors, the Gift Shop coordinator will manage the daily operations and activities of the Art Reach Gift Shop and Gallery, and will represent Art Reach to its members, volunteers and community at large.

Requirements:

• Bachelor’s degree with 2 years retail/gallery experience
• Basic clerical skills including working knowledge of retail procedures and equipment
• Computer literate in Microsoft Word, Excel, Outlook Calendar, E-mail, Quickbooks
• Strong organizational skills
• Strong interpersonal and communication skills

• Ability to maintain positive interpersonal working relationships with staff, volunteers and the general public

Principal Duties and Responsibilities:
Gift Shop:

• Manage financial aspects: reconcile cash and sales, banking services, etc.
• Process daily sales receipts in Quickbooks
• Prepare monthly sales reports
• Clerk as needed, performing daily tasks
• Order, receive, check-in, check out, and accurately maintain inventory
• Order supplies for the gift shop
• Receive, check-in, check-out, and accurately maintain consignment items
• Assist with physical annual inventory

• Oversee displays and inventory placement
• Create monthly store window display
• Maintain facility: arrange indoor/outdoor cleaning, snow removal, repairs

Gallery:

• Serve as liaison with artists
• Collect documentation and bibliographies of works and artists
• Serve as hostess for gallery receptions when needed

Volunteers:

• Oversee and assist volunteer staff
• Recruit and train gift shop volunteers
• Schedule volunteers: set up and mail monthly calendar

Art Reach Center:

• Assist with special events when needed
• Assist in office when needed
• Serve on committees when appropriate

Community:

• Attend community meetings as necessary
• Arrange for Gift Shop to be open and staffed for all downtown and special events
